How Alumys Tools works.

A manual for the console and each of its products: what they are, what they include, and how to do things step by step. Everything here describes the product as it ships today.

Alumys Tools

Alumys Tools is the console at tools.alumys.com: one account and one workspace for your team, a growing suite of products you enroll in one by one, and a single bill. This section covers the parts every product shares.

What it is

A workspace (an organization or a personal account) holds your team, your billing details and your branding. Products plug into it: today Assessment is available, and more follow on the same account. Each product is enrolled separately with its own plan, and every member of the workspace can use every enrolled product according to their role.

Examinees and other people outside your team never sign in to the console. They reach product pages through links you send them, styled with your branding from the Team plan.

Create your account

  1. Open Create account, enter your email and a password of at least 7 characters with a letter, a number and a special character.
  2. Open the verification email and confirm. The link works once.
  3. Log in. The first login takes you through workspace setup.

Forgot your password? Use Forgot password? on the login page; the reset link arrives by email and expires. Change a known password under Settings → Account. Ten wrong passwords in a minute pause logins briefly.

One email backs exactly one account. Deleting an organization also deletes its owner's login; the same email can sign up again afterwards.

Set up your workspace

At setup you choose how you will use Alumys. The choice is permanent for that email:

  • An organization — a shared workspace with team members, roles, invitations, branding, and one bill. You become the Owner. Give it a name; the workspace handle (lowercase letters, numbers, dashes) is derived from it and used in your URLs.
  • Just me — your own workspace. No team surface and no branding; everything else works the same.

Until setup is finished the console keeps you on that step; the only other action offered is Sign out.

Team and roles

Organizations have three roles:

RoleCanCannot
OwnerEverything: billing, branding, deleting the organization, plus all admin rights. Exactly one per organization.Remove themself.
AdminInvite and remove members, manage products, API keys and webhooks.Billing, branding, deleting the organization, removing the owner.
MemberUse the enrolled products: author, invite examinees, grade, read results.Team, billing, branding, API keys.

To invite someone: Team → Invite, enter their email and a role. They receive a link; opening it signs them up (or in) and adds them to the organization. Pending invitations can be resent or revoked. Removing a member takes effect on their next action.

Billing

Each product is billed on its own. Every organization starts on Free (unlimited non-coding attempts, ten active examinations, no running code). The paid plans are on the billing page: Usage-Based (the first 200 completed attempts each month free, coding included, then $0.04 per non-coding attempt and $1.50 per coding attempt, invoiced monthly in arrears with a $5 minimum in any billed month and a spend cap you set) and Team ($99 a month or $990 a year for 3,000 attempts a month, a coding attempt counting as 15; unused attempts expire at month end; monthly Team bills overage at $0.03 a unit, yearly Team pauses at the allowance). Free needs no card; every paid plan asks for a payment card when it starts, free attempts included. See pricing.

  1. Choose a plan. A payment card is required for Usage-Based and Team: if none is on file, add one in the dialog (Stripe), then confirm the plan.
  2. Change plan from Billing → Change plan. Plan changes are limited to one per 30 days.
  3. Un-enroll stops the renewal; access continues until the end of the paid period, and Resume reverses it. After that date the organization moves to Free; the old plan's limits stay for 7 more days.
  4. Invoices, the payment method and the billing address live on the Billing page. Only the Owner sees it.

A failed payment pauses the product after Stripe's retries run out; paying the open invoice from the Billing page restores it.

Settings and branding

Settings → Account: your name, password, theme and newsletter subscription. Settings → Organization: the organization's name and handle, and the option to delete it (type its name to confirm — this removes members, examinations, subscriptions and the owner's login).

Settings → Branding (Owner) is where you define your brand for the pages your customers and examinees see: colors for light and dark themes, a plain or brand-color header, button radius, font, brand name, logos and favicon, and whether the "Powered by Alumys" line shows. A live preview shows the result. Branding is included from the Team plan and switched on per product in that product's settings; until then the Alumys look is used.

Notifications and support

The bell in the header opens your inbox: completed attempts, new reviews, billing events and support replies, each linking to the page concerned. Most events also arrive by email.

Support in the sidebar opens a ticket with the Alumys team and keeps the thread; staff replies appear there and in your inbox. Not signed in? Use the help page.
